Whether you work at a university, a research institute, a library, a science-driven collective, or a creative studio, the Citywide Programme is designed for you to share your work with people across the city on your own terms. Over ten days, more than 100 institutions showcase their work and engage with the public – in labs, bars, museums, and other public spaces across Berlin.
Registering an event as part of the Citywide Programme is a unique opportunity to reach and engage new audiences, and to gain visibility under the umbrella of Berlin Science Week. With no participation fee, a low barrier to entry, and new tools to support you in organising your event, the programme offers an accessible and impactful way to strengthen your public profile and advance your public engagement goals.

YOUR RESEARCH, REIMAGINED FOR THE PUBLIC
With over 35,000 visitors every year, Berlin Science Week attracts a diverse, mostly adult audience: from scientists and researchers to curious minds with an interest in how science, culture, and society intersect. They value expert perspectives, enjoy thoughtful debate, and respond to formats that are creative, interactive, and sometimes unexpected.
Event formats can range from panel discussions and lively debates to walking tours, live podcasts, exhibitions, workshops, performances, and more. No matter which one you choose, we welcome formats that spark dialogue and make research tangible. Whether you’re opening the doors to your lab or bringing your research to your neighbourhood bar, start by identifying that one exciting idea you want to share. In line with this year’s theme, In Touch, we especially encourage events that are personal, participatory, and relevant to everyday life.

WHAT’S INCLUDED
Joining the Citywide Programme means your event becomes part of one of Europe’s leading science festivals. Participation is free and gives you the visibility, tools, and support to make your event a success and reach interested audiences. Registered events are included in the official programme, and participating institutions or initiatives are recognised as Programme Partners. As a Citywide Programme Partner, you get:
- Visibility Where it Matters: Your events appear in the official Berlin Science Week programme (online and in print), reaching tens of thousands of Berliners and visitors who actively seek out science events.
- Your Own Event Page & Title Workshop: A dedicated page for your event(s) on our website, plus the option to join a free online workshop (15 June) to help you craft clear, compelling event titles and descriptions.
- Branding & Promotion Tools: You’ll receive a Berlin Science Week branding pack for onsite use, including posters and Tagesspiegel magazines (100,000+ printed), along with a complimentary media kit to help you promote your event across your own channels.
- Optional Expert Consultation: We offer consultation calls prior to registration to help refine your ideas, strengthen engagement, and explore creative ways to bring your research to life.
- Full Autonomy: You stay fully in control of your event by choosing your speakers, venue, and format. You bring the ideas; we provide the platform, visibility, and support. No formal contract is required, just your commitment to carrying out the event as proposed.
- Access to our Community: You’ll get one ticket to the invite-only Opening Night on 1 November at the Museum für Naturkunde Berlin, where you’ll have the chance to meet fellow partners and the wider Berlin Science Week network.

Please note: the attached questions are only meant as support in preparing the information needed for the application, which can only officially take place via our dedicated platform.
WHO CAN PARTICIPATE
Participation is open to organisations and initiatives that engage with science; these include but are not limited to universities, research institutions, cultural venues, embassies, creative agencies, and cultural or community initiatives.
To be part of the Citywide Programme, events should meet our festival standards: high scientific quality, societal relevance, and an engaging format that offers space for diverse voices. All event registrations that align with our Guiding Principles and demonstrate feasibility will be considered for inclusion in the official programme.
HOW IT WORKS
Decide what you want to showcase during Berlin Science Week. Think about:

We encourage formats that invite dialogue and interaction, and locations that help you meet your audience inside or outside your institution. If you need inspiration, you’ll find a short concept guide with helpful pointers here.

Once your concept is ready, register your event via our online platform. You’ll be asked for your working title, format, topic, date, location, and potential speakers. These details help us understand your plan; they can still evolve later.

After you register, our team reviews your event entry within a week. Once approved, you’re in! Your event is confirmed; detailed planning and production can begin. To help you get started with this next step, we’ve created a Guide with practical production tips that you can find here.
When we confirm your event, you’ll receive login details to our website, where you’ll upload your final event information for publication. You have until 30 June to submit all final information about your event, including your cover photo. We’ll review your event entry and may make small editorial adjustments before publication to our website.

The full programme goes live on 3 September, kicking off our citywide and digital campaign. To maximise your reach, we highly encourage running your own communication efforts in parallel.
You’ll receive downloadable copy and pre-made social media posts to support your event promotion. Please include the Berlin Science Week logo in all communication materials for your event and tag us @berlinscienceweek.

Eligibility & Participation
All Citywide Programme events are independently organised and managed by the hosting institution, initiative, or individual. This includes planning, booking speakers, and securing a venue. Berlin Science Week provides the framework and visibility, but each event remains fully controlled by its organisers. No formal contract is required, but by registering, organisers confirm their intention to carry out the event as proposed.
If you prefer full production support for your event, you can book a slot in our Festival Centre. You can find more information here.
Participation in the Citywide Programme is free of charge. There are no registration or participation fees. Optional services such as comms packages or Festival Centre slots come with additional costs, but joining the Citywide Programme itself is free.
No. You can submit a working title, a draft description, or venue information. These details can still evolve. Final information is only required by 30 June.
Yes, you can register multiple events. Through our registration form, you can submit up to 3 events directly. If you’re planning to register more than 3, please get in touch with us beforehand at info@berlinscienceweek.com so we can coordinate the process with you.
Yes. Collaborative events are welcome and often lead to especially engaging formats. Please list all collaborating partners when registering your event so we can reflect this accurately in the programme.
No. Events must take place during Berlin Science Week (1–10 November). Activities outside these dates cannot be included in the official programme.
We’re open to any topic grounded in solid, verifiable research and designed to spark curiosity, learning, or discovery for our audiences.
We understand science in a broad sense, from astrophysics to anthropology, from climate research to cultural studies. Projects from the humanities, social sciences, natural sciences, arts, and interdisciplinary fields are all welcome.
If your work is rooted in science and helps people explore, understand, or experience something in a meaningful way, it’s a good fit.
A direct connection to our annual theme is not mandatory, but engaging with it will help frame your event within the festival, support its promotion, and can create new connections with audiences and partners.
Registration Process
When you register your event, we’ll send you all the details you need for the next steps, including further information for the title workshop.
Minor adjustments (e.g., speakers, timing, description) can be made until 30 June. After publication, only essential updates can be accommodated. Please inform us as soon as possible if major changes arise.
All approved events will be published when the full programme goes live on 3 September.
Event Requirements & Standards
Events that do not meet our festival standards (scientific quality, societal relevance, and an engaging, accessible format) may not be included. Purely promotional or commercial events are not eligible. Events that do not align with our Guiding Principles will also not be considered.
Most Berlin Science Week events are free of charge. While this is not a mandatory condition, we strongly encourage partners to prioritise easy access and equitability and consider offering free entrance to the events. If events are ticketed, we recommend keeping the fee low, not exceeding 5 - 15€ per person.
Events can be held in German, English, or both. Please indicate the event language during registration so we can communicate it clearly to audiences.
Yes. While we recommend organising your event in person, Citywide Programme events can also take place online or in a hybrid format. Please specify the format during registration.
We understand that plans can change. If you need to cancel your event, please notify us as soon as possible at info@berlinscienceweek.com so we can update the programme and inform the public. After the programme is published on 3 September, timely communication is especially important to ensure audiences receive accurate information and avoid confusion.
Logistics & Production
Citywide Programme events take place at locations chosen and organised by the host institution. If you don’t have access to a suitable venue, you can book a slot in our Festival Centre. This year, we’ve also partnered with several event spaces that offer discounted rates for Citywide Programme events during Berlin Science Week. More information is available here.
Event hosts are responsible for arranging any necessary insurance, security, or safety measures for their event. We do not provide insurance or on‑site security services. If you’re unsure what you may need, our Production Guide includes helpful considerations for planning a safe event.
We encourage all partners to consider accessibility in their planning. While we do not provide accessibility services directly, we offer guidance in our Production Guide and are happy to advise on best practices.
Ticketing and attendee registration are managed by the event host. You’re welcome to use your own tools or platforms. We do not provide a central ticketing system for Citywide Programme events.
If your event is fully booked or reaches capacity, we recommend updating your event page or ticketing system accordingly. You remain in control of managing registrations and communicating with attendees. If your venue allows it, you may also consider offering a waiting list. Please let us know after your event how many people attended.
We encourage all organisers to share feedback once their event has taken place. Your insights help us understand what worked well, how many visitors were there, where we can improve, and how we can better support Citywide Programme Partners in the future. While not mandatory, your feedback is highly valued and contributes directly to shaping the next edition of Berlin Science Week.
Communication & Promotion
Our main channels highlight the festival as a whole, and we cannot guarantee individual promotion for every Citywide Programme event. However, we regularly feature a curated selection of events across our platforms. You’re encouraged to use the media kit and branding assets to promote your event through your own channels.
If you wish to secure social media promotion via the Berlin Science Week channels, please have a look at our Communication Packages.
Yes. By registering your event, you agree to include Berlin Science Week in all communication measures for your event. If you’re creating flyers, posters, or other promotional materials, please make sure to use our logo. You will receive our logo after you’ve registered your event.
Berlin Science Week does not photograph or record all Citywide Programme events. We document only a small selection of events for festival communication. If your event is chosen by our communications team, we will inform you in advance.
If you would like photos or recordings of your event, please arrange your own documentation. As the event host, you are responsible for ensuring that photography is permitted at your venue. If you plan to photograph or record your event yourself, we recommend placing a clear notice at the entrance (e.g., “Photos and videos will be taken at this event”). This helps ensure transparency for your audience and supports GDPR‑compliant documentation. You are responsible for informing speakers and attendees where required.
