Welcome to our page for participating organisations. We’re excited to have you join us at this year's festival!
Here, you will find the essential information you need, including the festival timeline, the steps to prepare for your participation, details on the publication of your event and our communication strategy. If you have any questions not answered here, please get in touch with us at forum@berlinscienceweek.com.
Whether you’re organising an event or a Pop-Up Booth, August is the time to share your production plans. Our FORUM producer, Jéssica Nakazima , will be in touch to schedule a meeting to go through your event plan and discuss your technical requirments, set-up and dismantling times, and to address any questions. You will also receive a production form, which we kindly ask you to fill out before your meeting with Jéssica. You can find the production form here:
To support your event planning, you can find detailed information on the venue and individual spaces in the fact sheets linked below.
Contributors selected for the Art & Science Programme will receive a contract for their contribution to the FORUM, on the basis of which payment will be made after the festival.
Partner Institutions organising an event or a Pop-Up Booth at the FORUM will receive an official offer, on the basis of which an invoice will be issued before the festival.
The details of your event are clear, and you’re ready to go. Wonderful!! Our team will be in touch to send you your personal log-in to our programme calendar. You will have time until 14 September to create an event entry for each format you are organising.
This is a crucial step, as this information will be published on our website during the programme launch. All contributors are required to submit this information, regardless of the format they are organising.
Key points to keep in mind:
- The platform includes guidance for each field. We kindly ask you to read this carefully and follow the instructions to ensure a smooth process.We handle all registration and ticketing processes. You do not need to fill out any information or create any links. The registration/ticketing links for your events will go live together with the programme at the end of September.
- We will add all the relevant visitor information (room, ticketing, and accessibility) before publication. You do not need to fill out this field unless you are providing extra accessibility services (for example, live sign language interpretation).
- Event URLs can already be included in your communication materials, but these links will only go live with the programme launch on 25 September.
The Berlin Science Week Team will check all the event entries for the programme during this period. We will be in touch to confirm that your event entry is complete and ready to be published, or if we have any additional questions.
The Berlin Science Week programme will be launched on 25 September, marking the start of our city-wide advertising campaign and online promotion. We encourage you to take advantage of this momentum to promote your event!
Berlin Science Week generates strong visibility throughout the city (through posters and the Berlin Science Week Magazine with Tagesspiegel) and online (through digital ads and social media posts). To maximise your reach, and benefit your individual event, we strongly recommend you run your own dedicated communication efforts in parallel.

Please remember that, upon registering, you agreed to include Berlin Science Week in all of your communication efforts for the event(s). Further information on how to brand your event can be found in our Branding & Communication Guide, which will be published in due course.

We take care of the GEMA registration for your event. To do so, we will require information (Title, Performer, Composer, Playing time) for any public performance or reproduction of music. Please submit this information via e-mail to forum@berlinscienceweek.com.
As we finalise the production plans, we will need your PPT Presentation/Media File for your event. Please submit this in PDF, PPT, MP4 format via email or a downloadable link to forum@berlinscienceweek.com.
Berlin Science Week takes place across the city from 1 – 10 November.
01 – 02 NOVEMBER | CAMPUS
The festival will kick off with two days of interaction and exchange at the CAMPUS in the Museum für Naturkunde Berlin. On Saturday, 1 November, the opening event of Berlin Science Week will take place in the Dinosaur Hall. Official invitations will follow in due course.
STEP 9 | 7 – 10 NOVEMBER | FORUM
We’re looking forward to an inspiring three-day FORUM programme with you! On Saturday, 8 th November, we’re planning a networking lunch for all contributors – so please save the date. Official invitations will follow in due course.
All those receiving an honorarium from us are kindly asked to submit their invoice by the end of November to ensure payment before year-end.
We kindly ask ALL contributors to the FORUM to fill out our 2-minute Feedback form to help us improve future editions of Berlin Science Week.
