We’re glad that you’re planning to take part in this year’s Berlin Science Week! Please bookmark this page and follow the steps below, there you will find all the relevant information, deadlines and materials you need for a successful participation.

STEP BY STEP

STEP 1 | MARCH - 30 JULY | GET STARTED AND REGISTER

Our handy How to Get Involved booklet below provides general information on how to participate in our festival between 1 – 10 November. If you are interested in taking part in the CAMPUS at the Museum für Naturkunde Berlin on 3–4 November, get in touch to find out more. Our Campus Exposé below provides you with all necessary information on participation possibilities, spaces & rates. If you are interested in participating in our Art & Science FORUM, please take a look at the Campus Exposé below for available spaces and general information, and get in touch to discuss your ideas.

Our annual network meeting will take place on 24 May from 11.00h CEST. We will start with a digital meeting and continue with coffee and cake in the beautiful courtyard of our office in the afternoon. Get in touch if you would like to participate!

Register

Once you have made up your mind, please contact us for a call or a Zoom meeting where we can discuss your ideas. This meeting is mandatory before the next steps can go ahead.

Please find our Guiding Principles, Agreement & Event Registration Form below and read them carefully to understand our event policy. If you agree and would like to register your event for Berlin Science Week, please sign the Agreement and fill out the Event Registration Form – preferably digital – until 30 JULY the latest and send it to production@berlinscienceweek.com

Between 7 and 9 November, the diverse programme of the Falling Walls Foundation provides a highlight within the framework of Berlin Science Week. Participating organisations ideally benefit from the temporal proximity or thematic synergies presented in the various formats. Please feel free to contact us for further information.

STEP 2 | JULY - 10 SEPTEMBER | CREATE AND MANAGE YOUR EVENT

Once we have received your registration and approved your proposal, you will be able to create your event in our digital portal through a personal account. Each event receives its own listing and event page in our online programme calendar. It shows all relevant information on content, location/ digital access, ticket or registration information and speakers. Livestreams from Youtube and Vimeo can be embedded, other digital formats that you may choose can be linked through a prominent button. Both are timed to appear 15 minutes before the event begins.

The information you provide is directly connected to the event page in our online programme. To get an impression have a look at these examples: Digital Event | In Person Event | Campus Event.

As of August we will provide an Event Entry Guide, which we ask you to read carefully to make sure to fill in all fields correctly. Please fill in all information by 10 SEPTEMBER and click ‘Submit for Publication‘ once completed. This is your signal to us that everything is ready. We will then check the data and prepare for the programme launch on 28 September.

Thanks to your personal account, you will still be able to make minor changes yourself thereafter – except for title, date and registration info. With the direct access, we want to give you the opportunity to manage your event yourself until the event day. However, please inform us if you make important changes so that we can keep an eye on them and support you if necessary.

STEP 3 | AUGUST - NOVEMBER | COMMUNICATE AND BRAND YOUR EVENT

You are committed to promote your event as part of Berlin Science Week. Our Communication Booklet will be made available shortly, providing all the information you need to ensure that you present your event according to our standards.

We are busy preparing all our communication activities in August and early September on the basis of your registration forms. There is more that we should know about your event? We are always keen to hear about the juicy bits or receive further enticing materials to include them in our editorial plans, press mailings and newsletters. Only if we have the information in time can we use it!  Starting with the publication of the programme at the end of September, all our power will be focused on the realisation of our plan and sharing tweets, stories, etc. Make sure to tag us to keep us in the loop 😉 We’re happy to repost!

The Berlin Science Week Magazine is published yearly as part of our collaboration with Der Tagesspiegel. It highlights  scientific subjects in addition to the whole programme and exposes them to the readership of Berlin’s leading medium – in print and digital. Take the opportunity and place an advertisement to give your institution visibility. Have a look at the factsheet below for more information about deadlines, prices and available formats.

With time we will provide more materials and text modules below to use for your website, newsletter, press and social media activities. We are always looking to add more assets. Check back occasionally to discover new items or feel free to contact us if you have a specific request.

STEP 4 | 1 - 10 NOVEMBER | TAKE PART AND BENEFIT

To make meaningful encounters possible beyond your own event, we will create opportunities for dialogue, exchange, and networking, especially in the CAMPUS. We are planning a get-together on 03 NOV for all of our participating organizations. Keep an eye on your e-mails and our social media channels for updates on this!

STEP 5 | 1 - 25 NOVEMBER | SUBMIT YOUR DOCUMENTATION & FEEDBACK

In order to document and continuously develop the Berlin Science Week for our stakeholders, we request that you answer our survey after your event. We also request that you share our audience survey with the people attending your events. The links to both surveys will be made available in due course.

If you produce photos, graphic novels or other documentation of your event, we will be happy to use them for our communication activities in retrospect of Berlin Science Week. Please share them via mail with us.
